OFFICE MANAGER

About The PositionAs an Office Manager, you will be part of a small cross-functional People and Office Operations team where you will have the opportunity to grow and develop your career while being part of a high growth SaaS scale-up, on a mission to redefine the future of mass transit. This is a unique opportunity to join a highly collaborative and inclusive team where you can have an impact across the entire region.This is a full time position based in Donostia-San Sebastian. We are also open to applicants who are looking for a part time role, working a minimum of 30 hours each week. We are flexible with the hours/days and can discuss this further with your application.ResponsibilitiesYou will be the first point of contact for all employees across various sites and will collaborate with the people team to support with onboarding (preparing a security card, health & safety, adding to the relevant Slack channels, etc.)You will manage internal and external partners (property management, suppliers, service providers, tradesmen, etc.)You will be in charge of our communal spaces and order management (snacks, drinks, office supplies, Optibus swag)You will collaborate on growing and maintaining a company culture based on humility, inclusion and belonging while taking care of appreciation initiatives (birthdays, anniversaries)You will collaborate with cross-functional teams and local leadership on planning and organizing company happy hours, gatherings, events/parties, meetings and off-sitesYou are the point of contact and will take the lead on health and safety topicsRequirementsYou have proven experience as an office/workplace manager or in an equivalent role in a fast-growing companyYou have excellent oral and written communication skillsYou are proactive and able to pivot, re-plan and reprioritise with short notice when things change or don’t go to planYou’re organized and you strive for creating process and documentation where it’s neededYou have hands-on experience in project or event management and you have handled multiple projects while dealing with several stakeholdersYou are curious and have a solution-oriented mindsetWhat you will need to succeedYou’re comfortable to be present in the San Sebastian office 4 days each week; we have client meetings on-site and many people in our team are working from the office regularlyYou communicate confidently in English and Spanish and/or Basque (written and verbal)If you are also able to speak Portuguese it’s a plus!You are able to demonstrate high levels of discretion around sensitive informationStrong communication and relationship-building skillsExcellent computer skills, including a high degree of proficiency in Microsoft officeYou are a high performer who thrives in a fast-pace environmentYou are collaborative, humble and a problem-solverAbout OptibusOptibus is revolutionising mass transportation for global transit providers in over 5,000 cities worldwide!
