Administrative and Marketing Support Assistant Department: Mall Operations and MarketingReports To: Mall Manager and Marketing Manager Job Summary: The Administrative and Marketing Support Assistant will provide comprehensive support to both the Mall Manager and the Marketing Manager. This role involves a blend of administrative tasks, customer service, marketing coordination, and operational support to ensure the mall's daily operations run smoothly and marketing strategies are effectively implemented. Key Responsibilities: 1. Administrative Support:Calendar Management: Schedule and manage appointments, meetings, and events for both the Mall Manager and Marketing Manager.Correspondence: Handle incoming and outgoing communications, including emails, phone calls, and letters. Draft responses and manage communication on behalf of the managers.Document Management: Maintain and organize records, files, and documents. Prepare reports, presentations, and other materials as required.Meeting Coordination: Arrange and coordinate meetings, including preparing agendas, taking minutes, and following up on action items. 2. Mall Operations Support:Vendor Coordination: Assist in liaising with vendors, contractors, and service providers. Help track contracts, agreements, and payments.Tenant Relations: Support the Mall Manager in managing tenant communications, addressing tenant issues, and maintaining positive relationships.Facility Management: Assist in coordinating maintenance, security, and cleaning services to ensure the mall is well-maintained and operational.Event Coordination: Assist in planning and executing mall events, promotions, and activities. Ensure proper setup, coordination, and execution.Emergency response support: Get to know and assist in implementing the protocols of the Center in case events such as electricity or water interruptions, barrier and parking area issues, etc.Ordering of materials. 3. Marketing Support:Campaign Coordination: Assist the Marketing Manager in executing marketing campaigns, including digital, social media, print, and in-mall promotions.Content Creation: Help in creating content for social media, newsletters, and other marketing materials. Ensure content aligns with the mall's brand and marketing goals.Market Research: Conduct basic market research, gather data on competitors, and analyze customer trends to support marketing strategies.Promotional Materials: Coordinate the production and distribution of promotional materials, such as flyers, banners, and signage within the mall.Event Promotion: Assist in promoting mall events through various channels, including social media, local media, and in-mall advertising. Qualifications:Education: A diploma or degree in Business Administration, Marketing, Communications, or a related field.Experience: 1-3 years of experience in administrative roles, marketing, or retail operations. Experience in a mall or retail environment is a plus.Skills:Strong organizational and multitasking abilities.Excellent written and verbal communication skills.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).Basic knowledge of marketing tools and social media platforms.Strong customer service orientation.Attributes:Ability to work independently and as part of a team.High level of attention to detail and accuracy.Flexibility to handle a variety of tasks and adjust to changing priorities.Languages:Advanced EnglishProficient SpanishAny other language would be a plus Work Environment:Primarily based in an office within the mall, with regular interaction with mall tenants, visitors, and external vendors.May require occasional evening or weekend work, especially during major mall events or promotions.
