Overview Assistant, School of Architecture and Design   We are looking for an Assistant to support IE School of Architecture and Design, in the management of the day to day, of members of the Deans \"8office, in particular the Vice-Dean, and full time directors, when needed.
This will involve acting as the point of contact with key internal stakeholders, handling requests and queries appropriately and managing diary, trips, administrative issues and schedule meetings and appointments for the people, the Assistant is helping.
The candidate will need excellent time management, attention to detail and communication skills.

Responsibilities Your role as a Assistant will involve.
Organizing meetings, events and business travel Arranging travel and accommodation.
Organizing and maintaining diaries and making appointments.
Managing external providers for events/conferences such as caterings, etc.
Screening phone calls, enquiries and requests, and handling them when appropriate.
Meeting and greeting visitors.
Effective business communication Dealing with incoming email and post on behalf of those who is assisting.
Liaising with partners and stakeholders (Event organizers, lecturers, external guests, Other Schools Management, Faculty etc.), and other staff.
Taking care of the internal communication.
Developing or translating complex documents Managing databases and preparing proposals.
Supporting School communications Producing/translating documents, briefing papers, reports and presentations.
Word processing (MS Word) and Spreadsheets (MS Excel).
Coordinate with other departments to ensure compliance with established policies.
Submit and reconcile expense reports.
Develop other projects in accordance with the department's needs.
The candidate will need excellent time management, attention to detail and communication skills.
Qualifications To thrive in this role, you should have.
Bachelor´s Degree needed and a Master desirable Bilingual English and Spanish (written and oral), and a third language, preferable 3-5 years of experience in similar roles.
The candidate will demonstrate solid communication and negotiation skills and ability to work under pressure.
Excellent word processing and IT skills, including knowledge of a range of software packages.
Good organizational and time management skills.
The ability to research, analyze and present material clearly and concisely.
Excellent interpersonal skills and attention to detail.
Flexibility and adaptability to juggle a range of different tasks.
Discretion and an understanding of confidentiality issues.
