BILINGUAL EXECUTIVE ASSISTANT/BILINGUAL EXECUTIVE OFFICER

Our client, a prominent European investment manager, is currently looking for a forward-thinking Bilingual/Trilingual Executive Assistant/Executive Officer to support an international C-Level Executive who works from the Madrid office. Responsibilities will include (however not limited to): Complex agenda management and acting as gatekeeper of time: screening, booking meeting requests and diary management according to strategic business interestsAnticipating and managing schedule conflicts, rescheduling calendar according to business prioritiesOrganising Board meetings: arrange with relevant parties, prepare and distribute relevant documentation prior and post meetings, provide follow up and ensure key points are actionedAssisting with reporting: compiling necessary information efficiently and accurately Travel management (fully taking preferences into account and double checking details to ensure individual can focus on strategic priorities)Ensuring Executive is well prepared for meetings with relevant briefings/materials/slides Preparation of briefings/materials/slides with accurate information Project management: manage projects simultaneously and flexibly, oversee timelines and follow up to ensure timely completions Occasional personal needs (doctor´s appointments, personal travel, etc.) Processing notes into actions (contacts, meeting notes, etc.) Accurate data entry onto technology platforms as requiredExpense reports, reconciliation of credit card statementsWorking closely with team across differing European jurisdictions Candidates must have a bilingual level of English, Spanish and German. A relevant University degree and at least 5-10 years EA experience supporting a C-Level individual is also a prerequisite. They must be able to manage standard Tech (Microsoft 365, VC Software, Slack etc.) with ease. Experience in the investment sector will be viewed favourably. The ideal candidate will be well organised, accurate and pay exceptional attention to detail. They will enjoy working in a structured environment where a direct approach is necessary. It’s essential the chosen individual is able to build trust, enjoys working with capable leadership and has strong business acumen.
