EVENT COORDINATOR ASSISTANT

We are looking for an Event Coordinator Assistant to support our premium retreat business. In this role, you will work closely with the retreat lead and assist manage all aspects of our retreat operations, from participant onboarding to event coordination and customer communications. This is an exciting opportunity to be part of a fast-growing wellness retreat business with premium clientele, where you can develop your skills and grow into a more independent role over time.You will support the planning and coordination of luxury retreats, ensuring that everything runs smoothly, while providing excellent service to our high-end participants. We are seeking someone highly organized, service-oriented, and eager to develop into a leadership role in the future.Responsibilities:Event Coordination: Assist with retreat planning, logistics, and vendor coordination. This includes booking venues, managing room assignments, confirming schedules with facilitators, and coordinating photoshoots.Customer Onboarding: Handle participant onboarding, including forms, payments, and communication before, during, and after the retreat.On-Site Assistance: Provide hands-on support during retreats, such as helping with venue setup, participant assistance, and managing the retreat schedule.Client Communication: Maintain professional communication with retreat participants, ensuring a top-tier experience that aligns with the brand’s luxury positioning.Sales Support: Assist with handling sales inquiries, following up with leads, and managing bookings.Retreat Management: Help manage schedules, budgets, and vendor relations during retreats to ensure everything runs smoothly.Requirements:Strong service-mentality (very customer focused)1-2 years of experience in event coordination, customer service, or hospitality roles.Fluent or bilingual in English (both spoken and written); Spanish is a plus.Strong organizational skills and the ability to manage multiple tasks at once.Ability to work under pressure and solve problems quickly.Excellent communication skills, with a high level of professionalism and customer service.A strong interest in wellness or premium events is preferred.Located in Madrid or willing to relocate. Must be willing to travel to retreat locations within Spain as needed maximum once a month for up to 5 days.Preferred Qualifications:Previous experience in the luxury hospitality or wellness industry.Familiarity with basic office tools (Google Workspace, Microsoft Office).A proactive attitude with a passion for event coordination and delivering exceptional customer experiences.Why Join Us?
