We are seeking a highly organized and bilingual (English and Spanish) Assistant to support the preparation and organization of our upcoming 2-day corporate conference scheduled to take place in mid-December in the city of Málaga.
The ideal candidate will help with various pre-event tasks in our Marbella office.
You will be joining the Office of the CEO and will be reporting to his Executive Assistant.
This is a temporary contract position for up to 2 months.
European Union’s legal working status is required.
Key responsibilities As an Event Organizer Assistant your main goal is to ensure that no details are overlooked and that the Event Organiser has everything she needs to deliver a successful event.
You will support the planning and execution of the annual event by handling administrative tasks, coordinating logistics, and liaising with vendors.
You will assist with scheduling, managing RSVPs, arranging catering, and sourcing equipment.
On event day, you will help with setup, guest registration, and troubleshooting, ensuring everything runs smoothly.
You will play a key role in ensuring successful and well-organized events.
General event preparation Agenda preparation.
Assist in the development and finalization of the event agenda.
This includes collaborating with speakers, team members and the audiovisual team to confirm the schedule and ensuring all details are accurately communicated to stakeholders.
Team communication prior to the event.
Assist with the internal communication leading up to the event.
Transportation coordination.
Arrange and coordinate transportation logistics for the event.
Prepare merchandising packages.
Prepare Merchandising packages for distribution on December 12th, and coordinate with the transport company for the pickup and delivery of packages from the office to the event venue.
Material pickup and verification.
Collect event materials from local suppliers.
Ensure the accuracy, quality, and quantity of items collected and report any discrepancies.
Event schedule support.
Assist in ensuring all activities stay on schedule by providing real-time updates.
Respond to changes or delays promptly and coordinate with hostesses and event staff for smooth execution.
Onsite support Event setup.
Assist in setting up the event space prior to the summit, including merchandising display and other logistical setups.
Registration & guest assistance.
Provide support during the event, including guest registration, attendee assistance, and troubleshooting any issues that arise.
Post-Event.
Assist with the breakdown and collection of the event material after the summit.
Ensure all materials are properly stored, returned to suppliers, or transported back to our Marbella office.
Requirements Fluent in both English and Spanish (spoken and written) Strong organizational and time-management skills Excellent communication and interpersonal skills Ability to work independently and as part of a team Attention to detail and problem-solving abilities Physical ability to lift and carry materials as needed A valid driver’s license and a car is required to pick up event supplies What's in it for you? Following the onboarding period, we offer a hybrid work model, allowing for up to 2 days remote per week.
