EXECUTIVE ASSISTANT

About the Role:We are seeking an experienced and highly organized Executive Assistant to support the Director 1:1 and work closely with the General Manager. You will be based at either the Barcelona or Amposta office but must be able to travel frequently between these two locations and occasionally to Madrid.This role is essential in managing a wide range of administrative tasks, translating communications from Spanish to English, and acting as a key liaison between the Director, internal teams, and external stakeholders. You will be responsible for managing a busy diary, travel logistics, and other executive support functions while handling last-minute changes with ease.Key Responsibilities:Executive Support:Manage the Director’s calendar, scheduling meetings, appointments, and travel arrangements across multiple locations.Handle all communication, emails, and phone calls in both Spanish and English.Act as the Director’s right-hand support, providing daily updates and reporting.Prepare and organize monthly management board packs, including minute-taking and creating presentations.Assist with expense management, ensuring timely reconciliation.Translation & Interpretation:Translate meetings, emails, and documents from Spanish to English for the Director.Provide real-time interpretation during meetings (virtual and in-person).Liaise with Spanish-speaking clients and stakeholders to ensure seamless communication.Travel & Diary Management:Arrange domestic and international travel, including flights, accommodations, and ground transportation.Organize and plan the Director’s schedule, ensuring all travel-related tasks are managed efficiently.Administrative Duties:Manage office facilities, ensuring smooth daily operations across multiple locations.Assist with client and stakeholder communication on behalf of the Director.Perform research projects, collating and presenting information to support executive decision-making.Event Organization:Plan and coordinate events, both internal and external, ensuring all logistical needs are met.Organize meetings, conferences, and other corporate events as required.Internal Communication:Serve as a bridge between employees and the Director, facilitating clear and effective communication within the organization.Follow up on action items from meetings and ensure completion of tasks.Requirements:5-7+ years of experience as a PA/EA supporting C-suite level executives.Fluency in both Spanish and English is mandatory, with proven translation and interpretation skills.Bachelor's degree or equivalent work experience.Excellent organizational skills, able to multitask and prioritize a high-volume workload.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Exceptional written and verbal communication in both languages.Experience managing diaries, travel, and events for C-suite executives.High level of professionalism, confidentiality, and discretion.Strong problem-solving abilities and attention to detail.Experience in a fast-paced and dynamic environment.
