WORKPLACE COORDINATOR

We are looking for a Workplace Coordinator to join our dynamic team in our Malaga office.This is an office based position where you will be the point of contact for all employees and visitors, responsible for ensuring the smooth and efficient operation of our office. This role combines managing day-to-day office activities with providing high-level administrative support to senior leadership. The ideal candidate is highly organized, detail-oriented, and thrives in a demanding environment, capable of managing a wide range of tasks with competing priorities.This position is pivotal to our operational success, ensuring a safe, secure, and collaborative working environment where employees can work independently or together. Our goal is to make the office a pleasant, inspiring, and well-organized place to work.What you'll doFront of House and Reception ManagementAct as the main point of contact at reception, greeting and assisting all internal and external visitors in a professional and courteous manner.Answer incoming phone calls and direct inquiries to the appropriate person, maintaining an approachable and professional tone.Ensure the reception area and meeting rooms are maintainedCoordinate meeting room bookings, ensuring timely resolution of scheduling conflicts.Ensure sufficient stock of office supplies, including stationery, printer supplies, catering items, and beverages for weekly office events.Conduct induction office tours for new starters and assist in their onboardingOffice. Facilities and Save and Safety ManagementPrepare access cards for new starters, visitors, and contractors in line with security protocols.Manage facilities programs (access cards, booking system for parking, desk, parcels…)Coordinate building management issues, maintenance services, and ensuring the maintenance record is up to date and filed systematically.Coordinate with the selected provider to ensure that the risk, safety, and health assessment is adequate.Partner with Corporate Security to manage and control the Operational Risk Register, driving resolutions to completion.Control maintenance book of work to ensure office is in perfect conditionsAssist with the operational and security reviews of facilitiesServe as a First Aider, contributing to workplace safety.Administrative and Event SupportCreate and maintain an electronic filing system to ensure work transparency and operational efficiency.Order and coordinate catering for meetings and events.Raise purchase orders and ensure they comply with company procedures.Handle the payment of invoices related to offices purchases and eventsManage office services, including travel arrangements, accommodation bookings, supplies management, asset management, and disposal of assets.What you'll bringProven experience in office management, administration, or front of house/reception.Strong organizational and multitasking skills, with the ability to manage competing priorities in a fast-paced, customer-focused environment.Self-motivated, resourceful, and able to work independently with minimal supervision.Ability to work under pressure, multitask, and meet tight deadlines.Flexible, proactive, and team-oriented, with a continuous improvement and agile mindset.Strong verbal and written communication skills in English, conveyed with a professional demeanorProficiency in Microsoft Office (Word, Excel, PowerPoint) and advanced knowledge of Microsoft applications; internet savvy.Experience with technical, facilities and safety systems is a plus.Strong attention to detailExperience managing complex calendars and scheduling for senior leadership.Ability to handle confidential and sensitive information with discretion.Experience with budget management, office supply procurement, and travel coordination (including international itineraries).Well-presented and professional with a friendly, positive attitude.Ability to work on own initiative or as part of a team.Good documentation skills.What's in it for you A friendly, inclusive and multicultural environment.An attractive salary and personal growth opportunities.Private health insurance.Gym membership discount.Self-managed learning budget.The opportunity to take up to three paid volunteering days each year.A range of events throughout the year
