OPERATIONS ASSISTANT

Position Summary: The Operations Assistant is a key player in assuring the smooth-running of daily business operations. They act as the face of the company in terms of welcoming visitors (candidates, clients and other visitors) and supporting the team in different tasks that arise throughout the day.Position responsibilities: Fulfill Receptionist responsibilities (greet visitors, ensure compliance with visitor/guest sign-in, accompany visitors when needed to their point of contact, keep the Reception area clean and tidy, notify employees in the event of special deliveries, act as a back-up mailroom clerk and deal with deliveries in general).Accompany external providers and maintenance technicians to the different floors when required.Sort post on a daily basis, managing courier pick-up and deliveries, overnight services, etc. Assist with shipping and receiving.Run off-site errands.Office stock control: Order office supplies from our vendors’ websites, monitor stock levels of basic items, deal with employees’ requests, etc.Act as an administrative assistant to our Accounting team by assisting with filing Reports and other tasks as assigned by Accounting managers and Staff Accountants. Review and assist with Operations-related invoices for all TransPerfect Offices.Scan, photocopy, and provide additional administrative support.Assist with special marketing projects (postcards, holiday cards, events, etc.).Contact cleaners and maintenance personnel when needed.Provide backup support for maintenance control in case of the designated person being absent.Assist with employee relocation including setting up space for new hires by coordinating with managers, Recruitment and HelpDesk team members.Assist to move furniture and general office equipment when needed.Assist the Health & Safety team, ensuring that our office space is compliant with local law (revising First Aids kits, gathering legal documentation for audits and country regulations, etc.).Scheduling couriers both locally and internationally, making sure outgoing mail/parcels arrive in time and deal with Customs as necessary.Collaborate with the Human Resources team to coordinate and distribute New Hires kits.Undertake general office work for Operations.Complete all other tasks that are deemed appropriate for this role and assigned by the manager/supervisor.Essential skills and experience required: Bachelor´s degree or its equivalentExcellent communications (both verbal and written) in EnglishReliable and punctualAbility to work within a team with strong interpersonal skillsAbility to work independently when required and take ownership of tasks and responsibilitiesProactive with a can-do attitudeOrganizedExceptional problem-solving skillsAbility to maintain professionalism in all situationsMinimum of 6 months´ experience in a public-facing Receptionist/Secretarial/Operations role in a corporate environmentDesired skills and experience: Professional working proficiency in Spanish (knowledge of additional foreign languages is an asset)Strong competencies with Microsoft Office tools, particularly Outlook and ExcelTransPerfect and its companies provides equal employment opportunities to all individuals regardless of their race, color, creed, religion, gender, age, sexual orientation, national origin, disability, veteran status, or any other characteristic protected by local law.We celebrate diversity as one of our core values and we have a clear goal: to be an inclusive workplace where a diverse mix of talented people want to come, stay and do their best work.
