RECEPTIONIST & STUDENT WELL-BEING OFFICER

GBSB Global Business School is looking for a Receptionist & Student Well-being Officer in Madrid who will be the first point of contact for our campus, deal with the relocation and leisure support for our students, and coordinate front-desk activities. This is a job for a total of fixed 35 hours per week from Monday to Friday from 8.30 to 16.00 with 30 min break. Additionally, attendance to events will be periodically required in the evenings or weekends, and the additional hours will be paid separately. Therefore, we are looking for a person with a total flexibility and availability in the evenings or on weekends to attend different events with students such as visits to museums, sports, excursions, etc.The job is offered as “fijo-discontinuo” contract as the campus is closing for Christmas and Summer holidays. Excellent knowledge of English and Spanish is required for this job. Start date on Jan 7, 2025Main responsibilities will include:Reception: attend visitors, phone calls, receive/send parcels, keep record of all the events on an excel;Process and send international parcels, keep track of all shipmentsStudents & lecturers documents: make students & lecturers lists, keep all documents updated, file them, prepare attendance sheets, register the students’ attendance on Classlife, file medical justifications;Classrooms: keep them neat and tidy, put away the materials after a class, keep the whiteboards clean, turn on the computers when starting and off when the classes are over;Student well-being: Promptly help students to solve all issues they may have about life in Spain, such as accommodation, NIE applications, medical appointments, etc.Participate in Orientation Days and familiarize students with campus and life in Spain.Event responsibilities: carry out administrative duties such as booking restaurants, sports club for events, etc., produce spreadsheets (e.g. on the number of attendees expected), help to promote events among the students, gather feedback from students, come up with new and innovative ideas – both for events and event promotion, manage problem solving and hosting during an event.Attend events with the students when required.Collaborate with colleagues in Barcelona and Malta regarding organization of all student life events.Work and assist Events and Communications Lead in organizing events and producing the required marketing materials.An ideal candidate:Working experience as a receptionist, client relations, or similarVery dynamic, easy-going, and attentive to students’ needs.Flexibility around schedules and availability to attend events in the evenings and on weekendsExcellent communication and customer relation skills, professionalism, punctuality and ability to resolve problemsHas a high level of written and spoken English and Spanish – all students are English speaking and daily communication in English is requiredHas good communication skills;Has good IT literacy (Microsoft + other systems), preferably previous experience with LMS/VLE platforms;Open to work in an international environment;Responsible and able to work autonomously and independentlyWhat we offer:Attractive schedule from 8.30 to 16.00 and flexibility for Christmas and SummerMinimum interprofessional salary for 35 hours per week (1150 euros/gross approx.) + additional payment for attending eventsInternational team;Campus in the centre of Madrid;
