Contract creation & coordination manager The contract creation and coordination manager manages all study level contracts under the responsibility of Clinical Development Operations and Oncology Development Operations; and advises all functions with expert knowledge in contracting of external partners (Contract Research Organizations (CROs), specialized service providers, laboratories, research facilities, clinics as well as others).
Serves as center of expertise for initiation, negotiation and conclusion of different types of contracts.
Responsibilities will include.
• Responsible for driving the contract development and contract amendment process as part of a study or project team.
• Responsible for review of contact terms and language; consistency checks and highlights issues to Legal/Data Privacy/Procurement as needed.
Partner with Legal, Procurement and Data Security to ensure compliance • Maintain knowledge of contracted activities, including potential cost implications.
• Point of contact for Study Teams for contractual topics for their assigned studies.
• Liaise with internal and external partners to accurately communicate contract statuses and issues (Study teams,CROs) • Negotiation of costs to support Procurement and the study team • Ensure alignment of cross functional contractual topics through interactions with different counter parts.
• Effectively communicate with colleagues on different professional levels in an international and multi-cultural environment.
• Effectively seek support and guidance from the Bayer Local Organization as needed • Effectively work and support Bayer Local Organization on complex contracts/projects • Identification of process improvement opportunities • Facilitate the smooth and timely development, administration, execution, and tracking of global contract execution.
• Exercise clear decision making with regard to issue identification and troubleshooting to achieve contract execution.
• Manage internal and external contract signature process • Confirm smooth communication with external vendor and arrange distribution and countersignature • Provide final signed contract for the Trial Master File (TMF) • Organize, maintain and electronically track all contracts and related documents • Initiate and coordinate the Purchase Order preparation Responsible for setting up the Purchase Order Request.
Responsible to provide technical support to the global core team with invoice process management and payment tracking (from or to internal or external service providers), e.
.
in invoice verification, invoice reconciliation • Provide technical expertise of the budget and payment systems • Provide logistics support for payment tracking and reconciliation •Facilitate quality check of accruals, set up and processing of accruals in WPA system We would expect from you.
• Bachelor’s/ Master’s degree in the relevant field of Business Admin / Pharmaceuticals / Life Sciences or equivalent.
• Minimum 3 years’ experience working in procurement / contract management • Strong familiarity with project management methodologies, and best practices • Advanced training or certification in finance or legal related functions a plus; experience with financial tasks a plus; knowledge of the clinical development lifecycle / drug development process • Ability to effectively influence without hierarchical authority • Willingness to embrace change and be able to work in a changing environment • Thorough written and oral communication skills in English • Able to work collaboratively with all levels of the organization • Proven ability to work under pressure and willingness to travel • Fluent in English In the exchange we will offer you.
