The Company focuses on solar power project development, construction management and project financing services with local professional teams in more than 10 countries around the world.We are looking for a dynamic and organized part-time Office Assistant to join our team in Madrid. The ideal candidate will play a crucial role in maintaining office efficiency, supporting our team, and assisting the Country Director. Whether you're a student balancing studies or a parent returning to the workforce, this role is designed with flexibility in mind.Working Hours: 50%As our new colleague you will:Greet and welcome office visitorsOversee day-to-day office operations.Order supplies, IT equipment and other materials in line with budgeted costsMaintain contacts with suppliers, landlord, office cleaning team and any other service providerEnsure that all rooms of office are clean and representativeResponsible for invoice management: registering invoices, reviewing and controlling in a timely manner according to internal control proceduresUse an Invoice Management system to keep track of all invoices and overview of paymentMain person responsible for travel organization, getting approvals for the local team in compliance with internal applicable policiesProvide administrative support to the project development team. Assist in the preparation of project proposals, reports, and presentations.Support Finance and HR proactively in forecasting budgets and updating reports of actual expenses vs budgets. Keep track of annual leaves and other absences of local TeamManage all incoming, outgoing mail, meeting organizationClerical Duties such as copying, printing and binding of materialIdeally you have:Experience as an office assistant, office administrator, or in another relevant administrative role.Proficiency in MS Office (MS Excel, MS Word, MS PowerPoint, in particular), familiarity with any ERP and Document control systemExcellent organizational and time management skills.Strong written and verbal communication skills.Ability to multitask and prioritize work.Attention to detail and problem-solving skills.High school diploma or equivalent; additional qualifications as an administrative assistant or secretary will be a plus.Fluency in Spanish and EnglishJoining our team offers you an opportunity to work in a dynamic and supportive environment, where your contributions are valued.
