PRODUCTION MANAGER

Madrid, Spain (On-Site)

As the Production Manager at OH37, you will be the the Dream Maker, the person who will take the right actions at the right time to make ours and our client’s dreams come true. Your role involves overseeing production, negotiate supplier agreements, source the impossible, find solutions to optimise the production process, organise the team's time and workload, ensure quality output on all company productions, manage suppliers and supplier communication, organise timelines and calendars, and deliver high-quality material. You will translate client needs into actionable briefings and ensure projects are executed smoothly and on time.

Qualifications:

• Proven experience in production coordination or project management.

• 3-5 years in Event or Digital Advertisement Agencies

• Native/Fluent English level

• Strong organisational and time management skills.

• Excellent communication and interpersonal abilities.

• Proficiency in project management tools such as Trello and Dropbox.

• Exemplary leadership traits.

• Ability to maintain a positive and professional behaviour while representing the OH37 brand.

Key Responsibilities:

Meetings:

• Attend all designated client and supplier meetings.

• Deliver updates and gain necessary approvals from clients.

• Follow up on project milestones and update plans accordingly.

• Take detailed notes in meetings and share them with the team accordingly.

• Organise and maintain MoMs (Minutes of Meeting) in Dropbox and Trello boards.

Project Management:

• Maintain and organise the project calendar.

• Track change requests and ensure adherence to timelines.

• Ensure incoming client content meets quality standards and is properly filed.

• Write and follow up on briefings, ensuring alignment with requirements and deadlines.

• Conduct quality checks on finished work before delivery

• Update project plans and maintain project status reports.

Content Management:

• Check all incoming content for integrity.

• Ensure all materials are updated as per the brief before being issued.

• File and organise new materials in Dropbox.

Supplier Responsibilities:

• Communicate supplier briefs specific to their Scope of Work.

• Update technical plans and ensure supplier adherence to agreed protocols.

Event Management:

• Understand the technical aspects of virtual and on-site booths.

• Organise incoming assets and coordinate with the production team and suppliers.

• Schedule and coordinate on-site booth construction and installation.

• Ensure the event is a success and everything goes smoothly.

• Schedule and moderate live events, and coordinate rehearsals and live sessions.

New Technology Research:

• Conduct in-depth research on assigned topics.

• Create detailed Trello and Pinterest boards with research findings.

• Develop presentations summarising research results.

Sourcing and Deployment

• Identify and acquire the appropriate materials and personnel to ensure all necessary resources are available.

• Develop and implement deployment strategies to maintain timelines and achieve milestones.

• Anticipate future needs to source and deploy resources in advance.
